Job Description: Immigration Office Clerk

Classification: Full-Time, At-Will, Non-Exempt
Location: Schaumburg office
Schedule: 5 days in office
Salary Range: $47,000- $49,000 per year plus discretionary annual bonus

Summary

The Office Clerk is responsible for general office functions including daily mail processing and distribution, file maintenance and photocopying, printing, and document assembly. You must be organized, efficient, have excellent time management and customer service skills, and work well with minimal supervision.
 

Essential Functions

  • Process daily mail – scan and save in document management system, internal distribution, meter outgoing mail, and bring metered mail to the U.S. postal receptacle
  • Photocopy, print and assemble documents, as instructed by paralegals and attorneys
  • Data entry/update Immigration forms and software
  • Save documents in appropriate programs, as directed by attorneys and paralegals
  • Prepare FedEx packages
  • Maintain an organized file room; locate physical files for attorneys and paralegals
  • Handle miscellaneous tasks for attorneys, paralegals and administration

Required Qualifications

  • Associate degree with a minimum 3.0 GPA or equivalent work experience
  • 2 years of office/administrative experience, preferably in a professional services firm
  • Data entry skills
  • Microsoft Office proficiency, including Outlook, Word and Teams

Supervisory Responsibility

This position has no supervisory responsibilities.

Position Type/Expected Hours of Work

This is a full-time position. The regular work week for full-time employees consists of 5 days, Monday through Friday. Full-time employees must work a minimum of 35 hours each week, 7 hours each day. Standard business hours are 9:00 am to 5:00 pm. Except for lunch and break periods required by law, employees are expected to be present and working onsite the entire seven hours during each day of work. The firm reserves the right to change the employee’s standard working schedule to meet the needs of the clients, attorneys, and/or the Firm. Non-exempt employees are required to clock in and out of each shift and lunch period using the Firm’s timekeeping application.

Location

The employee must be physically present in the Schaumburg office during the expected hours referenced above in order to complete the essential functions of the position.

Travel

No travel is expected for this position.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, photocopiers/scanner, and shredder.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee would be required to have the ability to lift files up to 25 pounds and bend or stand to open filing cabinets and pull files from shelves of varying heights. The employee is frequently required to sit and then stand to obtain files, obtain print jobs and photocopy documents in various locations throughout the office. The employee will also frequently use hands and fingers to type documents, review files, lift files and photocopy. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
